Is your institution contemplating a software or data migration? Have you ever wanted to learn about some of the content management system (CMS) options out there? Are you curious about how your archival peers evaluate and choose what software to use?

If you answered yes to any of the previous questions, please join us for the 2025 SIA Fall Workshop - “Migratory Patterns of Metadata: A practical exploration of software evaluation, migration, and implementation at Wabash College” on October 17, 2025.

At this year's Fall workshop, we will discuss software and data migration, software evaluation, and implementation. During the morning session, a panel of speakers will share their experiences with software and data migration efforts at their institutions, along with tips for determining what software might work for your repository.

Following lunch, there will be a tour of the Robert T. Ramsay, Jr. Archival Center located in the Lilly Library on the scenic Wabash College campus. The Ramsay Archival Center is the primary repository for the collection and preservation of Wabash College’s historic and special collections, including the College Archives, Rare Books, Manuscripts, and Special Collections. The tour will include an in-depth look at the Ramsay Archival Center's work and facilities and the highlights of its collections.

The afternoon session will feature demonstrations from our speakers and time for attendees to discuss specific issues and topics raised by the group. The discussion section will focus on collaborative, small group discussions about archival software experiences, troubleshooting, and shared road bumps.


About the Speakers

Evan N. Miller (he/him/his) is the Digital Preservation and Digital Collections Archivist at Indiana University Indianapolis and is located in the University Library’s Ruth Lilly Special Collections and Archives. In his recent positions—including Digital Initiatives Librarian at Butler University and Digital Archivist at Wabash College—his work has focused on digital collection development, metadata remediation, system migration, and developing digital preservation practices. He has had the opportunity to work at several Indiana-centric institutions during his career such as the Indiana Historical Society, Indianapolis Museum of Art at Newfields, and Hanover College. He earned his M.L.I.S. and M.A. in Public History from IU Indianapolis (formerly IUPUI) in 2019.

Natasha Hollenbach (she/her/hers) is the Manager of Digital Projects at the Indianapolis Public Library. In this position, she manages the Digital Indy website where her team collaborates with organizations to digitize their documents and photos, thereby highlighting the history and culture of Indianapolis’ communities. With an MIS degree from the University of Tennessee-Knoxville and over 10 years of experience in digital projects, the best thing about her job is working with community groups and seeing their excitement when their materials are available to everyone online.

Nic Don Stanton-Roark (he/him/his) serves in several overlapping roles. He is an archives and repository consultant with PALNI (Private Academic Library Network of Indiana), where he works on the Hyku for Consortia project alongside PALCI (Partnership for Academic Library Collaboration & Innovation) and other partners to maintain a shared, multi-tenant repository service (hykuforconsortia.org). He is also the product owner for the open-source Hyku software, guiding platform development through the Samvera Foundation community. In addition, he is university archivist at Anderson University, a PALNI member.

Register for the workshop by completing the online registration form below.

Registration open from September 12 to October 10 at midnight | Online payment available

$40 SIA members |  $20 for student members |  $60 for non-members

Registration includes a light breakfast, beverages, and afternoon refreshments.

Lunch is NOT included.

    All payments are due prior to the October 17, 2025 workshop.

    Cancellations with refund must be made by email to Julie Motyka (jmotyka[at]archindy[dot]org) by October 10, 2025.

    On-site registration will not be available.

    If you are not currently a member or your membership has lapsed, you must sign up for membership first in order to register with the member rate. [Note: membership is by calendar year].

      Parking + Logistics


      The SIA 2025 Fall Workshop will be held at Trippet Hall at Wabash College in Crawfordsville, Indiana. The address is 410 W. Wabash Ave., Crawfordsville, Indiana, 47933.

      Parking is free anywhere on Wabash College campus, and there is ample parking available in the Trippet Hall parking lot. The parking lot can be accessed via W Pike Street and W Wabash Ave. For more information, please consult the Wabash Campus Map.

      If you are interested in sharing a ride with other attendees to the workshop, please use the SIA listserv to find people in your area and facilitate a carpool arrangement.

      The building can be accessed via two entrances. The main entrance is located on W. Wabash Avenue. If needed, a ramp can be found to the left when facing the building. The second entrance is located on the left-hand side of the building.
       
      Check-in begins at 9:00 AM on the garden/lower level accessible via the stairs behind the reservation desk. Please ask the front desk staff for assistance.

      Lunch is not included in the workshop registration. Nearby lunch options compiled by the Education Committee are listed below.

        No official room block has been reserved for the 2025 SIA Fall Workshop. Accommodations may be available at local area hotels.

        If you would like to stay in Trippet Hall itself, you may contact Kevin Jett (jettk[at]wabash[dot]edu) and let him know you are coming for the Society of Indiana Archivists Conference. The room rate for Trippet Hall is $125.00/night and there are 18 rooms available in Trippet Hall.

        Scholarships

        Two scholarships will be awarded for the 2025 Fall Workshop. Both scholarships will receive a complimentary registration to the workshop and $150 to cover the expenses associated with attending. The two scholarships are the Thomas Krasean Student Scholarship and the John Newman Memorial Professional Development Scholarship.

        Thomas Krasean Student Scholarship

        Graduate students enrolled in a Master of Library and Information Science (MLIS) program, Master of Arts (MA) in History or Museum Studies program, or a related graduate program, and new professionals (up to five years of post-graduate work experience) are encouraged to apply.

        John Newman Memorial Professional Development Scholarship

        Anyone in the field of special collections and archives in the state of Indiana is eligible to apply for this scholarship. New employees and volunteers are especially encouraged to apply as well as applicants with limited professional development opportunities available through their institution.

        To Apply

        The application deadline is Friday, October 3, 2025 at midnight. The winners will be notified in writing by October 10, 2025.

        Send a statement of 200-300 words about why the workshop will help you gain knowledge and experience useful in your volunteering efforts or career, along with your name, institution you work/volunteer for, and contact information. Submit your statement to Scholarship Committee Chair Sara Stefani (samastef[at]iu[dot]edu). In the email subject line please state the scholarship that you are applying for.

        The award recipients will be announced through the SIA listserv prior to the Fall Workshop. If the winner has already paid the workshop fee upon receipt of the scholarship, the fee paid will be refunded. Upon accepting the award, the recipient must submit a headshot along with a reflection of their experience at the Fall Workshop for publication in the next SIA News and Notes newsletter.
